How to prioritize your time
Facing all varieties of tasks, you definitely want to accomplish them with efficiency. Prioritizing the activities allows you to do time management, eliminate trifles, and increase the productivity. There are three steps, list all of the tasks, prioritize these tasks allocate them into four quadrants according to Eisenhower Matrix, and finish them practically give yourself, which will facilitate you to do time management orderly.
To begin with, you need to make a to-do list. It will assist you to be aware of how much work you need to finish. You should not keep your jobs in different notes ; otherwise , it will confuse you ultimately. Personally, I recommend two methods to record all tasks. If you prefer electronic ways to record, you can give Google Calendar a try. You can sort your backlog into a variety of categoriesy by marking them with different colors. On the other hands, if you prefer handwriting, you can write them down in bullet journal, a method you can organize assignment one notebook. Listing all of the jobs down seems trifle and minor; however, it helps you to sort problems out, and prioritize your assignments.
Next,The following , prioritize allocates the tasks on the list your to-do list into four quadrants by using Eisenhower Matrix. The Matrix is created by Eisenhower, a former U.S president. It includes four quadrants, do in now, decide, delegate, and delete according to different levels of importance and urgency. Firstly, as for those urgent tasks, there are two ways to differentiate them. Important and urgent tasks should be sorted as “Do it now”, such as the significant items had better to be finished today or tomorrow. For example, receiving an assignment with pressing deadline, I will put it into as “do it now” so that I can finish it efficiently and gain more time to improve my works. The second quadrant contains important but less urgent jobs, called “Decide”. You can schedule when to finish the works and alleviate the pressure of managing all the tasks at the present.
In terms of less important tasks, Eisenhower Matrix also mentions two processes complete them. The third quadrant is called “Delegate”, which means allocating urgent but less important tasks to a suitable person. Thus, you can avoid shouldering all the burdens on yourself; moreover, it not only helps you to increase efficiency but also makes your subordinate learn, improve, and grow. Plus, the fourth quadrant is called “Delete”. You don’t have to do the less urgent and important job. Take my own experience for an example. I planned to dye my hair brown; however, I quitted it. No matter doing it or not, I felt confident about my appearance, so that it was not necessary to finish it. On account of the busy schedule, it seemed that I didn’t need to do it right away, so it was less urgent. Hence, my final decision was deleting the plan of dyeing hair on schedule.
After separating your assignments tasks into different diverse quadrants, what you need to do is finishing them practically. Keep in your mind that appropriate pressure helps you to develop;, nevertheless, overwhelming stress does nothing but drags you down. Hence, please arrange break time in your schedule. It is a free time that you can watch television series, play online games or play around with your puppy, and so on. After taking a break, you will get energy and have the power to keep working.
To summarize, the above steps make you sort your brain out, prioritize your limited time, and perform practically. Keeping all the tasks enables you realize how to distribute them. Next, Eisenhower Matrix provides you with an easy way to prioritize your matters. According to the tasks’ level of importance and urgency, you can finish it right away, reschedule it, assign it to others, or cancel it. Furthermore, don’t forget to take a break regularly so that you recharge your battery. After realizing the method of time management, it is your time to put the knowledge into reality.
